ADMINISTRATIVE COORDINATOR
The Centre for General Education is seeking a qualified Administrative Coordinator to provide administrative and secretarial support to the Director and Centre administration. The ideal candidate is organised, professional, and proactive, with strong communication and administrative skills.
Job Summary
The Administrative Coordinator provides comprehensive administrative and secretarial support to the Director and Centre administration. The position is responsible for managing office operations, coordinating academic and administrative activities, maintaining records and documentation, facilitating communication among stakeholders, and assisting with institutional initiatives to ensure the efficient functioning of the Director’s Office.
Key Responsibilities
- Manage the Director’s calendar, including appointments, meetings, and scheduling priorities
- Coordinate meetings by preparing agendas and recording and disseminating minutes of meetings
- Coordinate faculty meetings, academic events, ceremonies, and other special initiatives of the Centre
- Draft, edit, and prepare correspondence, reports, presentations, and official communications as instructed by the Director
- Screen and respond to phone calls, emails, and other correspondence as authorised by the Director
- Serve as the primary administrative liaison between the Director’s Office, Programme/Department Heads, faculty members, staff, students, and external partners
- Assist the Director, Officers, and faculty members with administrative procedures and documentation
- Assist the Director and Officers in encoding course offerings in the Student Information System (SIS)
- Provide assistance to the Director and students during the add/drop period
- Support the implementation of centre-wide initiatives, strategic planning activities, and special projects
- Assist with accreditation processes, assessment activities, and compliance documentation
- Compile and maintain organised digital and physical filing systems for University and Centre reports
- Monitor office supplies and coordinate with the Procurement Department regarding supply requests
- Prepare market analysis, enrolment analysis, and other statistical and administrative reports
- Perform other duties as assigned by the immediate superior
Qualifications
Education

Experience
- Six (6) months to one (1) year of experience in secretarial, administrative, or office support functions
Training
- Training in Basic Secretarial Courses, Records Management, Filing Systems and Documentation, and Telephone Etiquette
Skills and Competencies
- Proficiency in oral and written communication in both English and Arabic
- Proficiency in Microsoft Office applications and other office productivity tools
- Strong organisational and time-management skills
- Ability to maintain confidentiality and handle sensitive information
- Effective interpersonal and customer service skills
- Strong attention to detail and accuracy
- Ability to work independently and manage multiple priorities
- Computer literate and capable of working with Student Information Systems (SIS) and other university software
